Introduction
The Auto Balance tool allows you to automatically calculate and allocate pupil deposit refunds where you are refunding the full deposit balance . It is especially useful where you have enabled Multiple Deposits.
Use the Auto Balance option when you refund a deposit
- Go to Fees>Collections>Receive or Refund Deposits.
- Select the pupil with the deposit balance to refund.
- In the lower pane, select Refund.
- Select the correct contact for the refund.
- Complete the Refund Date, Ledger Text, and Transaction Description fields.
- Select the Auto Balance button. This will enter the total value of the deposit held in the Refund Amount field.
- If you have enabled Multiple Deposits, the Auto Balance button will automatically allocate the refund to the different deposit funds held.
- Save and post the refund in the normal way.
Note: If you only want to refund part of the deposit balance held, you must do this manually.
