Use the Auto Balance option when you refund a deposit

Introduction

The Auto Balance tool allows you to automatically calculate and allocate pupil deposit refunds where you are refunding the full deposit balance . It is especially useful where you have enabled Multiple Deposits.

Use the Auto Balance option when you refund a deposit

  1. Go to Fees>Collections>Receive or Refund Deposits.
  2. Select the pupil with the deposit balance to refund.
  3. In the lower pane, select Refund.
  4. Select the correct contact for the refund.
  5. Complete the Refund Date, Ledger Text, and Transaction Description fields.
  6. Select the Auto Balance button. This will enter the total value of the deposit held in the Refund Amount field.
  7. If you have enabled Multiple Deposits, the Auto Balance button will automatically allocate the refund to the different deposit funds held.
  8. Save and post the refund in the normal way.

Note: If you only want to refund part of the deposit balance held, you must do this manually.
