What is the purpose of this course?

To build upon the knowledge acquired in Core Admin One and includes running standard reports, document management and alert creation

Who the course is aimed at?

Engage System Administrator, Admissions, Office and Support staff

½ Day (3 hours)

Are there any prerequisites?

User must have permissions to run reports

Users must have completed Core Admin One

Users must have permission to use the Pupil and Contact screens

Users must have permission to use the DMS

Users must have permissions to create alerts

SMTP details (including SMS if school are using this feature) have been entered and saved in Engage

MS Word must be available and if hosted, the school must have the required licence

Attendees must have a basic understanding of mail merge

Please be aware that the course is designed to equip you with the skills to manage this area of the system effectively. It is important that you allow sufficient time and resource to implement the setup after the training has taken place. In many cases this will need to be completed before progressing to another stage of the system.

Looking at the standard portfolio of reports

Use a combination of filters to add and remove groups to be reported on

Using your newly created groups and filters
Alert Creator

Set up an Alert to notify Users on, before or after a selected date

Manage Alerts

Details of a required alert and the staff member/ members it will need to go to
Mail Merge

Create and edit mail merge templates

Run a mail merge for a specific group

Save mail merge records to the DMS

Copies of letters that the school currently sends out

Access to School logo image file

Email-Merge

Set Primary Email addresses

Utilise the Email Management screen

Create and send a mail-merge via email

Copies of emails the school currently sends out
SMS Settings

Compatible phone numbers

Contact and Staff Preferences

Details of SMS provider being used
List of contacts and staff mobile numbers to enable for SMS use
SMS Use

Quick SMS – single & multiple contacts

SMS template mail merge

Details of what the SMS template should contain (if school will be using these)
