Use the Bal. to Receipt Amt. option when you enter receipts

Introduction

You can use the Bal. to Receipt Amt. button in the Post Receipts and Refunds screen when a bill payer pays a lump sum which clears partially clears one or more outstanding invoices in one payment.

Use the Bal. to Invoice Amt. option when you enter receipts

  1. Go to Fees>Collections>Post Receipts and Refunds and select the account making the payment.
  2. Select the Receipt option and enter the Ledger Description, Transaction Reference, and Receipt Date as normal.
  3. Enter the total value of the receipt in the Receipt Amount. This value will also populate the Balance field in the Allocation Details pane at the bottom of the screen.
  4. Select the first invoice cleared by the payment followed by the Bal. to Receipt Amt. button.

  5. The outstanding invoice value will update to show as allocated and the Balance field will reduce by the same value.
  6. Repeat step 3 with other invoices cleared by the payment. The Balance field will update with each additional invoice.
  7. If the remaining balance only partially clears an invoice, the Balance field will be zero.
  8. If all invoices are cleared and there is still an amount in the Balance field, enter that value in the Unallocated Amount in this Receipt
  9. Save the receipt when finished and post in the normal way.

Note: When you pay complete invoices in this way, there is no need to use the Item button if Specific Charge Allocation is enabled, as all charges on the invoices are paid. If there is still
