Reconcile your Aged Debtors report to your Accounts

Introduction

Your Engage Fees Aged Debtors report balance should agree to the balance in your Debtors nominal in your Accounting System. If there is a difference, there are several possible reasons.

Reconcile your Aged Debtors report to your Accounts

  1. Go to Fees>Debtor Management>Print Aged Debtors report.
  2. Set the Stage filter at the top of the screen to ALL.
  3. In the Report Filter Parameters pane select Export to Excel from the Report Format options.
  4. Select the Full Report format and enter the date you want to reconcile to.
  5. Select the Generate Report button to export the report and compare the results.

If the balances are different, you should:

  1. Re-run the Aged Debtors report as at today’s date and compare to your accounting system balance. If the balances agree, there is a timing issue between the systems. If they do not agree see point (2).
  2. Go to Fees>Sales>Analysis>Accounts Health Check.
    1. If there is a Healthy message go to point (3).
    2. If there is a Conflict message, please raise a case in Engage Help.
  3. Check if there are non-Fees transactions recorded in your Accounting Software in the Fee Debtor nominal account. If this is not the cause for the difference, please see point (4).
  4. If your Fees system links to Engage Accounts or Double First Accounts, check that there are no missing Folio numbers. Missing number means that the link between the two systems may have turned off while you made some postings. If this is not the case, see point (5).
  5. Transactions posted after your Accounting System year end may not show when looking for a balance viewed at a different date. Validate that there are no transactions recorded in a different account period. If this does not reconcile your balances, see point (6).
  6. Validate that there are no transactions on the Aged Debtor spreadsheet with a date AFTER the end of the period or date you want to reconcile.
  7. If there is still a difference, please raise a Case in Engage Help for assistance.
